Job Description

  • Calendar Management: Manage the CEO’s schedule, including arranging meetings, appointments, and travel itineraries. Prioritize tasks to optimize the CEO’s time.
  • Communication: Serve as a primary point of contact for internal and external stakeholders, screen emails, phone calls, and other correspondence. Draft responses and handle inquiries on behalf of the CEO.
  • Meeting Support: Prepare meeting agendas, attend meetings with the CEO, take minutes, and follow up on action items. Coordinate with executives and departments within the company.
  • Document Preparation: Assist in drafting and editing reports, presentations, speeches, and other materials for the CEO. Conduct research and gather data as required.
  • Information Management: Organize and maintain physical and digital files, records, and documents. Ensure information is accessible and confidential information is safeguarded.
  • Liaison Role: Act as a liaison between the CEO and executive team members, external partners, clients, and stakeholders. Coordinate meetings, facilitate communication, and relay important messages.
  • Project Management: Manage special projects or initiatives on behalf of the CEO. Oversee timelines, budgets, and deliverables to ensure successful completion.
  • Event Planning: Assist in planning and coordinating company events, board meetings, conferences, and other functions attended by the CEO. Arrange logistics, manage guest invitations, and coordinate on-site activities.
  • Expense Management: Handle expense reports, reimbursements, and budget tracking for the CEO’s office. Ensure accuracy and compliance with company policies.
  • Confidentiality: Maintain strict confidentiality regarding sensitive information and discussions involving the CEO and the company.
  • Personal Assistance: Provide personal assistance as needed, such as managing personal appointments, coordinating family arrangements, or handling personal correspondence.
  • Strategic Support: Conduct market research, analyze industry trends, and prepare briefing materials for strategic planning sessions to support the CEO’s decision-making.
  • Problem Solving: Resolve issues and challenges using discretion and judgment on behalf of the CEO when necessary.
  • Continuous Improvement: Identify opportunities to streamline processes, improve efficiency, and enhance the effectiveness of the CEO’s office.

Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field (preferred).
  • Proven experience as an executive assistant or similar role supporting senior management.
  • Strong organizational and time management skills with the ability to prioritize tasks.
  • Excellent verbal and written communication skills, including the ability to draft correspondence and presentations.
  • Discretion and confidentiality in handling sensitive information.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Flexibility and adaptability to handle changing priorities and deadlines effectively.
  • Attention to detail and problem-solving skills.
